Mass Task Feature in Person Directories
The Mass Task feature enables office staff to efficiently assign, archive, and reassign multiple tasks to employees directly from person directories (ATS, NHO, EIS). This streamlines bulk task management, handles task conflicts intelligently based on "Allow Multiple" properties, and provides clear validation messages for state-specific or access-restricted tasks.
Functionality
Access and Location
- Available as a "Mass Task" action in all person application directories and Global Search.
- No Show Task toggle displayed for Mass Task actions.
Task Display Logic
- Tasks shown based on office staff accessand directory type:
- ATS/NHO: Tasks from respective stages.
- EIS: Tasks configured within the workflow are displayed.
- All directories: Generic tasks.
- Includes tasks with "Auto Assign = False" (e.g., Review Direct Deposit excluded, Direct Deposit included).
Add Task Functionality
- New tasks: Assigned directly
- Existing tasks:
- If "Allow Multiple" = True: New task created alongside existing.
- If "Allow Multiple" = False: Existing task archived, new task assigned.
- Parent/Child tasks: Archiving parent automatically archives children.
- State W-4 validation:
- Error if employee's state lacks State W-4 task: "State W-4 task not available for the selected entity's state".
- Reassigns based on previously assigned State W-4 state (not current employee state).
- If a task that already exists is added again, it will be archived and reassigned regardless of its status.
Archive Functionality
- Unassigned tasks: Not archived.
- Assigned/Saved tasks: Archived and reassigned.
- Cross-workflow: Archiving from one workflow archives same tasks in other workflows (no "allow multiple" check across workflows).
Direct Deposit Handling
- Archiving + Reassigning: Previously added bank account becomes inactive.
- New bank account from reassigned task displays as active.
Exception Handling
- Tasks unassignable due to access restrictions trigger exceptions.
- Clear validation messages for state mismatches and configuration issues.
Key Behaviors
- Generic tasks: Always archived and reassigned.
- State W-4: Only appears in Reassign slider if explicitly selected.
- All operations respect office staff permissions and task configurations.
This feature significantly reduces manual task management time while maintaining data integrity through intelligent conflict resolution and comprehensive validation.
Note: This feature is designed to support only two-level parent–child task relationships. When a mass action is initiated, only parent tasks within a two-tier hierarchy will be displayed in the grid view. Tasks with three or more hierarchical levels (for example, I-9 → Review I-9 → E-Verify) are outside the scope of this feature and will be addressed in a future release.
