This feature delivers multiple enhancements across the I-9 compliance workflows in Zenople by Aqore. It focuses on improving the accuracy of document number entry, ensures correct exception detection of missing I-9 forms, and refines the validation logic when reopening Review I-9 forms.

These updates enhance data integrity, streamline I-9 verification, and ensure consistent compliance behavior across all relevant modules.

Functionality

1. Document Number Field Enhancements

This update ensures consistent formatting of document numbers across all I-9 related forms in Zenople.

Where it applies:

  • I-9 Form
  • Review I-9 Task
  • Supplement B, Rehire and Reverification Task
  • Standalone Supplement Task
  • Document Number fields under List A, List B, and List C

What the system now does:

  • Automatically removes spaces at the beginning and end of the document number if entered by the user
  • Ensures that all data transmitted to E-Verify is free from leading or trailing spaces

This prevents formatting errors, improves data consistency, and reduces the chances of E-Verify submission failures.

2. Missing I-9 Form Exception Improvements

The system now performs more accurate checks before triggering missing I-9 exceptions during assignment related actions.

Applicable Stages:

  • New Assignment
  • Edit Assignment
  • New Assignment Schedule

New validation behavior:
The system checks for both:

  • An I-9 task belonging to the same company
  • I-9related documents belonging to the same company

The missing I-9 exception will only trigger when:

  • No I-9 task exists for the company OR
  • No I-9 document exists for the company

Cases where the exception will NOT trigger:

  • An I-9 task exists in Completed status
  • An I-9 document exists and is Active

Exception messages:

  • Standard exception:
    • “Employee #EmpName with Id #EmpId is missing I-9 form.”
  • For TransactionBatchException:
    • “The Person is missing I-9 form.”

These updates ensure the system no longer raises exceptions when a valid I-9 document exists but was previously overlooked due to incomplete task validation logic.

3. Review I-9: Expiration Date Error Refinement

This enhancement applies when users Reopen a Review I-9 task.

New behavior:

  • The expiration date validation error appears only after the user changes the document title.
  • The error applies only to the specific document category being edited (List B or List C).
  • The error will not appear for the other list category.

Example:

  • If the document title under List C is changed and its expiration date is earlier than today, the error will display for List C only.
  • List B will not show any error unless its own document title is changed.

Error message text:

  • “Expiration Date should be today's date or greater.”

This ensures clearer, more accurate feedback and prevents confusion during I-9 review updates.
