Added YTD Details on Standard Paystubs

Prev Next

OVERVIEW

Standard employee paystubs now show year-to-date (YTD) wage totals grouped by qualifying earning paycode. This makes it easier to review current-year earnings, validate wage totals, and support payroll reconciliation.

HOW TO USE

  1. Navigate to PAS > Payment.
  2. Open a paystub by clicking on eye view of any payment. The payment detail page will appear displaying the payment details (Recent Tax, Transaction and Transaction Items)
  3. Click on the view button on top left side of the screen. The Pay Stub will be displayed.

NOTES

  • The YTD wage totals use the same current-year calculation approach as the existing YTD paystub information.
  • The enhancement applies to standard paystub layouts.
  • The document shows qualifying earning paycodes available on the paystub; it does not display every paycode configured in the system.
  • Updated details appear when the standard paystub is generated or regenerated through View Checks. Existing saved documents are not automatically regenerated.
  • Paystubs continue to show existing YTD tax, deduction, garnishment, and other applicable information.

FILTERS AND EXCEPTIONS

  • A paycode is included when it is a qualifying earning paycode available on the paystub. Non-earning or unsupported paycodes are excluded from the YTD paycode details.
  • YTD values represent posted amounts for the employee and check year, not only the amount on the current paycheck.
  • Overtime exception: If the paystub contains another earning paycode but does not contain an OT paycode for the current paycheck, an OT line is still displayed with a current-period total of 0 so its YTD amount can be shown.
  • If no OT amount has been posted earlier in the year, the OT YTD field has no accumulated amount and may appear as 0 or blank depending on the paystub layout.
  • The OT exception does not add an OT line when the paystub has no qualifying earning rows at all.

EXAMPLES

Illustrative example: An employee's current-year paystub may show separate YTD totals for Regular, Overtime, and Bonus earnings. The Overtime line can appear even when the current paycheck contains no overtime transaction; its current-period total is 0 while its YTD value reflects earlier posted overtime, when available. A deduction remains in the deduction section and is not listed as an earning paycode.

RELATED FEATURES

  • Existing YTD tax, deduction, and garnishment information remains available on the same standard paystub.
  • Employees can view paystub documents through Employee Portal > Pay History. The payroll View Checks workflow is the verified workflow for viewing the updated standard paystub. This enhancement does not mean that every document already available in Pay History is regenerated.
