Common Features added to Recruitment Applications

The following are the common features added to Recruitment Applications (ATS, NHO, EIS):

I-9 Date Update on Review Task Completion

This feature ensures that the I-9 Date field in the date type navigation of a new hire or employee is accurately updated every time a Review I-9 task is completed. This guarantees that compliance data remains current and audits reflect the correct timeline of employment authorization verification.

Key Behaviors

  • The I-9 Date is updated only when a Review I-9 task is completed.
  • The update occurs regardless of whether the Review I-9 task is a fresh task or a newly created task after archiving and reassignment.
  • If a Review I-9 task is reopened and saved again, completing it does not update the I-9 Date.
  • The I-9 Date reflects the most recent completed Review I-9 task, ensuring audit trails show accurate verification timelines.
  • Archiving and reassigning Review I-9 tasks do not prevent the I-9 Date from updating when the new task is completed.

Add "Employee Authorization has not expired" Checkbox in I-9 Supplement B

This feature enhances Supplement B of the I-9 form in Zenople by Aqore, ensuring compliance with USCIS guidance for rehires within three years whose employment authorization has not expired. It introduces a new checkbox that, when selected, makes the Document Title and Document Number fields non-mandatory, streamlining the process for eligible rehires.

Functionality

New Checkbox:

  • Label: Employment Authorization has not expired
  • Location: I-9 Supplement B section (English/Spanish resources supported)

Behavior

When the checkbox is checked:

  • The Document Title and Document Number fields become non-mandatory (optional).
  • The user can submit Supplement B without entering document details.

When the checkbox is unchecked:

  • The Document Title and Document Number fields remain mandatory (required for submission).

Display Commission Percentage in User Role for Employee

This feature enables users to view the commission percentage for an employee's user role directly in card view under the Hiring Info > User Role section of the Employee Information System (EIS), New Hire Onboarding (NHO), and Applicant Tracking System (ATS) applications. The feature eliminates the need to navigate to edit the user role to view the commission percentage, improving usability and efficiency.

The visibility of commission percentage in user role card is based on a person level option property “showUIcommission” under respective option for each application. The same option property is used to control the visibility of Commission field when adding/editing a user role.

Fetch and Store Whippy Interview Data in Job Candidate Management

This feature enables the automatic fetching and storage of chat data from Whippy when an interview is marked as "Completed" in the Whippy platform. The data is stored as a comment in the Job Candidate comment section of the Job Candidate Management (JCM) system with a Comment Type of "Generic." Additionally, a new "Interview Score" column is added to the JCM directory to display the candidate’s interview score, and the score is stored in the Hiring Info > Interview navigation. If specified in the Whippy data, the job candidate is automatically moved to the next stage as well.

Sync Person Workflow and Utilize Shift Times in Sense Integration

This update now enables the synchronization of person Workflow and Workflow Stage data from the Applicant Tracking System (ATS), New Hire Onboarding (NHO), and Employee Information System (EIS) to the Sense database, allowing Sense users to create automations and journeys based on a person’s status (e.g., Applicant, Screening, Paperwork, Review, Rehire, Employee). Additionally, Zenople now integrates Shift Start Time and Shift End Time from assignments in the Job Candidate Management (JCM) system into Sense, in the correct time zone without requiring UTC conversion or additional time zone settings.
