Statuses, Validations, and Exceptions
Common action and status meanings

Pending | A request or file has not started or is waiting for action. | Confirm the required consent or submission action. |
In Process / Processing | A request or file is being processed and is waiting for a response. | Wait for the result; do not create a duplicate request. |
Accepted / Successful | The receiving agency accepted the submission or the verification succeeded. | Save the status for your records and continue the workflow. |
Rejected | The receiving agency rejected the submission. | Review the rejection details, correct the information, and use the available correction action. |
Invalid / Failed | A verification returned one or more invalid records. | Review the correction records and update the source information. |
Submitted | The selected state or local submission was recorded as submitted. | Keep your agency confirmation and review the tracking status. |
Exact statuses depend on the form, task, and filing path. Always read the information icon or message beside the status.
Field validation rules
ZenTax validates information when you save, update, authorize, or submit.
Required fields
Required fields must contain a value. A blank required field is highlighted and prevents the save or submission.
Text and length limits
Some fields accept only a defined number of characters. Examples include:
- Submitter Contact Name: up to 27 characters.
- Manual W-2 or W-2C BSO User ID: exactly eight characters.
- Manual Form 1095-C Transmission Control Code: exactly five characters.
- Names, addresses, and designated entity fields: the maximum length shown beside the field.
Email and phone formats
- Contact email must use a valid email format.
- Phone fields use the format displayed by the input mask, such as (123) 456-7890.
Dates
Date fields may have a minimum, maximum, or filing-year restriction. Use the date picker when available. If a typed date is rejected, select a valid date from the date picker and confirm the filing year.
Numbers and selections
Some fields accept numbers only. Dropdowns and Yes/No questions require a selection before the form can be saved.
Pattern or format rules
Some Fix Issue fields accept only a specific pattern. The field hint or validation message identifies the expected format. Do not add extra punctuation or spaces unless the field accepts them.
Form editor validation
When a federal form or Form 8879-EMP contains invalid or missing values, ZenTax displays:
There are errors in the highlighted fields. Please fix the errors and save again.
Correct every highlighted field, then select Save again.
High-priority exceptions
An exception banner means that one or more records require review. The banner may appear in the quarterly Overview & Exceptions step or in year-end Federal, State, or Local File tasks.
- Select the exception link or Fix Exceptions Here. -> ZenTax opens the related exception list.
- Read the record and field information. -> You can identify the employee, company, state, locality, or form information involved.
- Correct the source information in Zenople or the filing information in ZenTax, depending on what the exception identifies. -> The underlying record is corrected in the appropriate place.
- Process or save the correction. -> The exception list refreshes.
- Review the list again before filing. -> Blocking exceptions must be resolved or explained before submission.
Common exception causes
Exception or symptom | Probable cause | Recommended resolution |

State W-2 identification number needs review | The state identifier is missing, outdated, or does not match the filing information. | Verify the company and state information, correct it in the appropriate screen, and reload the filing. |
Employee SSN or name requires correction | Employee information does not match the verification result. | Correct the employee record in Zenople, process the applicable batch, and run verification again. |
TIN requires correction | The name and taxpayer identification number did not match the agency result. | Confirm the legal name and TIN, correct the source record, and repeat the matching process. |
High-priority form exception | A required value or filing rule is not satisfied. | Open the exception, correct the listed information, and save before filing. |
Federal Add/Edit Information is disabled | Submission is in progress or the return has already been accepted. | Wait for the result. Contact Aqore Support if the form is locked unexpectedly. |
State or local file is unavailable | The selected batch is incomplete or the form has unresolved exceptions. | Confirm the batch, resolve exceptions, and reload the task. |
Totals do not match payroll | The selected company, year, period, or processed batch is not the expected one. | Stop before submitting, confirm the selections, and compare the batch with Zenople payroll records. |
