The following feature have been added to person application common.
GCIC Form Addition for Criminal History Consent
This enhancement introduces a new form titled "GCIC" to Zenople, designed to obtain Criminal History Authorization Consent for Choice. By integrating the GCIC form directly within Zenople, this feature enables users to streamline consent collection for criminal history authorization, aligning with compliance requirements and ensuring efficient data handling.

- Form Integration
The GCIC form is now available in Zenople and can be accessed in two key stages:
- Paperwork Stage of New Hire Orientation (NHO)
- Employee Stage of Employee Information System (EIS)
- Form Specifications
The GCIC form is developed according to the provided sample specifications. Unlike in Diverse, this version of the form has no default checkboxes selected, ensuring accurate consent capture without presumption of choices.
- Automated Document Email
Upon completion, the finalized form is automatically sent to the designated email address: gcic@choicescreening.com, ensuring secure and prompt document submission.
This addition provides a straightforward path for Criminal History Authorization Consent within Zenople, improving both the efficiency and compliance of the employee onboarding and verification process.
Tracking of Latest Status Change Dates for Auto Status Updates
This enhancement introduces tracking for the most recent status change dates related to Auto Status Updates for Applicants, New Hires, and Employees in Zenople. By capturing the latest date when specific status changes occur, this feature enables accurate record-keeping and management of key dates associated with employee lifecycle statuses. The tracked data will not be displayed in the user interface (UI) but will be accessible through the Date Type Report.
Tracked Status Changes by Entity and Status
- Applicant Status Tracking
- Applicant: Date of the most recent change to "Applicant."
- Active: Date of the most recent change to "Active."
- Inactive: Date of the most recent change to "Inactive."
- Archived: Date of the most recent change to "Archived."
- DH Placed: Date of the most recent change to "Placed DH."
- New Hire Status Tracking
- Active: Date of the most recent change to "Active."
- Inactive: Date of the most recent change to "Inactive."
- Archived: Date of the most recent change to "Archived."
- DH Placed: Date of the most recent change to "Placed DH."
- Employee Status Tracking
- Active: Date of the most recent change to "Active."
- Idle: Date of the most recent change to "Idle."
- Assigned: Date of the most recent change to "Assigned."
- Working: Date of the most recent change to "Working."
- DH Placed: Date of the most recent change to "Placed DH."
- Inactive: Date of the most recent change to "Inactive."
- Archived: Date of the most recent change to "Rehire."
- Reonboarded: Date of the most recent change to "Reonboard."
Feature Details
- Date Recording: For each status listed above, the feature tracks the exact date when the status change occurs, capturing the first day after the change.
- Availability: The tracked status change dates are recorded and can be accessed in the Date Type Report within Zenople RMS > Reports. These records will not be displayed in the UI.
This enhancement provides structured tracking for status change dates, improving record accuracy and offering valuable insights for lifecycle management.
Synchronization of First Day of Employment with I-9 for E-Verify Compliance
This enhancement ensures that the first day of employment aligns with the I-9 form requirements, supporting compliance with E-Verify regulations while performing E-verify in NHO paperwork stage. By standardizing the first day of employment in Zenople according to a hierarchy of dates, this feature allows for accurate regulatory adherence and reduces the risk of non-compliance.
Logic for Determining the First Day of Employment
- Rehire Date: If a rehire date is available, it is used as the first day of employment.
- Hire Date: If a rehire date does not exist but a hire date is available, the hire date is set as the first day of employment.
- Today’s Date: If neither a rehire nor hire date is present, the current date (today) is recorded as the first day of employment.
Implementation Details
- E-Verify Synchronization: The first day of employment field is synchronized directly with E-Verify Date-Of-Hire, ensuring the data is accurate and consistent for regulatory purposes.
- Compliance Assurance: This configuration supports organizations in meeting E-Verify guidelines, particularly for rehires, by automating the selection of the first day of employment.
This feature allows users to confidently meet compliance requirements with minimal manual input, improving workflow accuracy and regulatory alignment.
