Email Template Builder in Zenople ATS
Email Template Builder is a feature that allows users to create, edit, share, and manage email templates efficiently within the ATM settings navigation. This tool enhances communication by providing customizable, reusable email templates tailored for different applications such as applicants, employees, job candidates, and more.
Key Features
- Access Location:
- Found under ATM > Settings > Email Template Builder navigation.
- Creating a New Email Template:
- Click the Add button to open the template creation slider.
- Define essential fields on the left side:
- Template Name: The unique name of the email template.
- Description: Brief explanation of the email template's purpose.
- Subject: The email subject line shown to recipients.
- Application: Dropdown to select the relevant module(s) where this template applies (e.g., Applicant, New Hire, Employee, Assignment, Job Candidate, Contact, Customer, Direct Hire Job, Schedule Job).
- Status: Active or Inactive status to control template availability.
- Tag Category: Helps to add tag by choosing appropriate tag type. These tags can be copied when drafting the email.
- Editing Existing Templates:
- Select an existing template then click the Pen icon to edit.
- Modify previously mentioned fields and the email content as per requirement.
- Actions via More Options (Three Dots Menu):
- Inactive/Activate: Toggle template availability.
- Share Email Template: Share the template with other users having access to the builder.
- Select the user(s) to share with.
- Choose access type:
- Edit and Use: Can edit and use the shared template.
- Use Only: Can use but cannot edit the template.
- Email Content Building:
- The builder provides three navigations for designing the email body:
- Content: Elements like columns, buttons, dividers, headings, text blocks, images, social icons, menus, and custom HTML. Drag and drop to compose the email.
- Blocks: Predefined blocks to organize content layout.
- Body: Controls font family, font size, colors, and styling options.

- Dynamic Tags Support:
- Tag categories provide dynamic variables (like recipient name) that when added appear personalized upon sending.
- To add the tag, click on “Tag Category” dropdown available on the left side of the Email template builder. The tag category consists of following values:
- Assignment-Related
- Date Time
- Job-Related
- Person-Related
- After selecting one of the values from Tag category dropdown, the tags can be copied into the email.
- Example: Adding ##recipient.name## tag in text will display the actual recipient’s name in the email.
- Saving Templates:
- Once composed, click Submit to save the new or updated email template.

- Clicking on the three-dot menu displays two actions:
- Inactive: To change the status of the email template.
- Share Email Template: This allows sharing of the email template with the office staff with the respective access level. On the top there is a dropdown which decides the behavior of sharing. The available access type is as follows:
- Edit and use: This allows the office staff to edit the email template once other office staff shares email template with them.
- Use Only: This allows the office staff to just use the email template once other office staff share it with them. They have no access to edit the email template.
