# Introduced Timeclock Template Builder

### **Overview**

Time Clock Templates let administrators create reusable time clock setup profiles in ATM and apply them during customer time clock setup.

This feature helps teams standardize time clock behavior across offices and customer sites, reduce manual re-entry, and speed up new time clock setup. Instead of configuring each time clock from scratch, administrators can save a preferred setup once and reuse it whenever needed.

### **Before you begin**

Before creating or using a Time Clock Template, make sure:

- You have access to **ATM > Template Builder > Time Clock**.
- You have access to **Setup > TimeClock > TimeClock Setup**.
- The offices that should use the template are known in advance.
- You understand the punch order, time clock settings, and clock-out questions you want the template to apply.

### **What a time clock template includes**

A Time Clock Template can store the main parts of a standard time clock setup, including:

- The template name and status
- Punch sequence settings
- General time clock property settings
- Clock-out question setup
- Office access for where the template can be used

This allows administrators to apply the same setup pattern to multiple time clocks without repeating the same steps each time.

### **How to use**

#### **Part 1 - Create a Time Clock Template in ATM**

1. Navigate to **ATM > Template Builder > Time Clock**. → The Time Clock Templates screen opens and shows the templates available to you.
2. Click **Add**. → A new template setup window opens.
3. In the first step, enter a clear **Template Name**. → The template is easier to identify later when you apply it during time clock setup.
4. Add an optional **Note**. → This helps other administrators understand when the template should be used.
5. Review the template status. → New templates are created as active by default unless changed during setup.
6. Review and adjust the **Time Clock Punch Sequence**. → You can define the punch order, add break punches, and rename the displayed punch labels when needed.
7. Continue to the **Time Clock Property** step. → Configure the reusable time clock settings you want this template to apply.
8. Continue to the **Clock-out Question** step. → Add a form title, optional description, and any questions that should appear after employees clock out.
9. Continue to the **Access** step. → Select the office or offices that should be allowed to use this template.
10. Save the template. → The template is now stored and can be selected later during customer time clock setup when the access and status conditions are met.

#### **Part 2 - Manage an Existing Time Clock Template**

1. Navigate to **ATM > Template Builder > Time Clock**. → The template list displays the available records.
2. Use the **Active / All** toggle to control which templates are shown. → **Active** shows only active templates. **All** shows active and inactive templates.
3. Select a template from the list. → You can review and manage that template.
4. Use **Edit** to update the template. → You can change the template name, note, punch sequence, time clock property settings, clock-out questions, or access.
5. Use **Access** to update which offices can use the template. → This controls where the template appears during customer time clock setup.
6. Use the status action to switch a template between active and inactive. → Inactive templates remain saved, but they are not available for new use until reactivated.
7. Use **Refresh** if you need to reload the list. → This helps if another administrator has recently updated templates.

#### **Part 3 - Apply a Template During Customer Time Clock Setup**

1. Navigate to **Setup > TimeClock > TimeClock Setup**. → Begin creating a new time clock configuration.
2. In the first setup step, locate the **Select from a Template** field. → This field lets you choose from reusable Time Clock Templates.
3. Choose a template from the dropdown. → The system loads the saved template values into the time clock setup.
4. Review the populated setup. → The selected template can populate punch sequence settings, reusable time clock properties, and clock-out question details.
5. Complete any remaining required fields for the time clock. → Template-based setup saves time, but customer-specific information may still need to be reviewed or completed.
6. Save the time clock setup. → The new time clock is saved using the template-based configuration you selected.

### **What happens when you select a template**

When you choose a Time Clock Template during time clock setup, the system applies the saved template information to the setup process.

This can include:

- The saved punch sequence
- The saved reusable time clock property settings
- The saved clock-out question title, description, and questions

This makes it easier to create new time clocks that follow the same rules and setup standards.

### **Template access and availability rules**

Time Clock Templates do not appear to every user in every setup scenario.

The following rules apply:

- Only **active** templates are available for selection during customer time clock setup.
- Template availability is controlled by **office access**.
- A template only appears when it is allowed for the office related to that setup.
- At least **one office must be selected** before template access can be saved.

This helps ensure administrators only see templates that are relevant to the office they are working with.

### **Duplicate name rule**

Each Time Clock Template must have a unique name.

If you enter a template name that already exists, the system prevents you from creating another template with the same name. This helps avoid confusion when administrators are selecting templates later.

### **Clock-out question behavior**

Templates can include clock-out questions so administrators do not need to rebuild the same form for each new time clock.

If you add clock-out questions to a template:

- The question form title can be saved.
- The question form description can be saved.
- Individual questions can be saved as part of the template.
- Required questions remain marked as required when the template is reused.

If no questions are added, the clock-out question section remains empty.

### **Punch sequence behavior**

Templates can store the punch sequence used for a time clock.

This means you can standardize:

- The overall punch order
- Break punch placement
- The displayed names used for punch actions

When a template is applied during setup, the saved punch sequence is reused instead of being configured manually again.

### **Notes**

- Time Clock Templates are intended for **reusable setup**, not for managing employee punch history.
- Applying a template helps with consistency, but administrators should still review the final setup before saving.
- If a template does not appear during customer time clock setup, verify that it is **active** and has access to the correct office.
- If you update a template, any newly created time clocks can use the updated version after selection. Existing saved time clocks are not automatically rewritten by simply changing the template record.
- If office access is missing, the system will require you to select at least one office before saving the template access settings.
- Use descriptive template names so administrators can quickly identify the correct setup option.
