# Editing Report Subscription

### Overview

A **Report Subscription** automatically delivers a report to one or more recipients via email on a defined schedule — daily, weekly, or monthly — without requiring anyone to run it manually. Users can now **edit** an existing subscription to change its schedule, recipients, report parameters, or delivery format, without having to delete and recreate it from scratch.

### How to Use

#### Accessing Report Subscriptions

1. Navigate to **Reports**.
2. Locate the report whose subscription you want to update.
3. Select the **Edit Subscription** action for that report. → A multi-step panel opens showing all active subscriptions for that report.

#### Step 1 — Select a Subscription to Edit

1. The panel displays all active subscriptions for the selected report. Each entry shows:
  - The **Schedule Title**
  - The **Next Delivery Time** (shown in your local time zone)
2. Select the subscription you want to modify.
3. Click **Continue** to proceed to the next step.

> **Usage Tip:**
> 
> **To remove a subscription instead:** Click the **Delete** button on its card. A confirmation prompt will appear. Once confirmed, the subscription is deactivated and the list refreshes.

#### Step 2 — Modify the Schedule

All schedule settings from the existing subscription are pre-filled. Update only what needs to change.

**Editable fields:**

- **Schedule Title** — the name used to identify this schedule
- **Schedule Type** — Daily, Weekly, or Monthly
- **Start Date and Time** — when deliveries begin
- **Recurrence** — how often the report repeats within the chosen type
- **End Condition** — no end date, end after several occurrences, or end on a specific date

**Options:**

- **Keep the existing schedule unchanged** — skip edits here and proceed. Only email settings and report parameters will be updated.
- **Modify the schedule** — update any fields above.
- **Create a new schedule** — enter a new schedule title and configuration.

##### Shared Schedules

If the schedule is currently shared with other subscriptions, the system will display a list of all affected subscriptions when you make changes.

You will be asked to choose one of the following:

| **Choice** | **What happens** |
| --- | --- |
| **Apply updates to all linked subscriptions** | The shared schedule is updated, and all subscriptions using it will follow the new settings. |
| **Apply only to this subscription** | A new separate schedule is created for the subscription you are editing. All other subscriptions keep the original schedule unchanged. |

> [!NOTE]
> **Note:** If you modify schedule fields but keep the same title, you will be prompted to enter a new title before saving. A start date in the past cannot be used for a new or modified schedule.

Click **Continue** when done.

#### Step 3 — Update Email Settings

All email settings from the existing subscription are pre-filled.

**Editable fields:**

- **To** — primary recipients
- **CC** — copied recipients
- **BCC** — blind-copied recipients
- **Subject** — defaults to the report name if not changed
- **Format** — PDF or Excel
- **Body** — the message included in the delivery email

Update any fields as needed, then click **Continue**.

#### Step 4 — Update Report Parameters

Any report filters saved with the subscription are pre-filled with their current values.

**Supported parameter types:**

- **Dropdown** — single selection from a list
- **Multi-select** — select one or more values
- **Date range** — start and end date
- **Free text** — typed input

**Cascading parameters:** If one parameter controls the available options in another (for example, selecting an office filters the employee list), the dependent parameter will automatically refresh when you change the parent. If the previously saved value is no longer valid after a parent change, it will be reset.

Update any parameters as needed, then click **Save**.

> Your changes are saved once the Save operation completes and the subscription will run with the updated settings at its next scheduled time.

> ### Notes
> 
> - The **Unsubscribe** option has now been replaced by **Edit Subscription.**
> - **Changes take effect from the next scheduled delivery.** Previously sent reports are not affected.
> - **Editing does not trigger an immediate delivery.** The report will run at its next scheduled time.
> - **Subscription identity is preserved.** Editing a subscription does not create a new subscription — the original record is updated in place.
> - **If no schedule changes are made**, only the email settings and report parameters are updated. No new schedule is created and the existing schedule is not modified.
> - **Shared schedules:** If a schedule is used by multiple subscriptions, modifying it may affect all of them. Review the list of linked subscriptions shown before saving.
> - Only subscriptions that are visible to your user account can be edited.
