California Overtime Plan

California has one of the most detailed overtime policies in the U.S., with specific rules for Daily OT, Weekly OT, and Double Time (DT). Zenople supports the California OT Plan with automatic OT and DT calculation logic based on state labor law.

Setting up California OT Plan

To set up the California OT Plan, users will have the “California OT Plan” option available in the OT Plan setup fields. The following sections detail where the OT Plan can be configured:

  • Customer Service Profile: In the “Timesheet” section of the “Service Profile” sub-navigation under the “Sales and Service” navigation on the Customer detail page, users can set the OT Plan to California OT Plan.
  • Job: When adding or editing a Scheduled Job or a Temp Job, users can select “California OT Plan” from the OT Plan field in the Show More section.
  • Transaction: Users can edit a transaction by selecting the Edit Transaction favorite action or the Edit Transaction option from the triple-dot menu on an individual transaction. From there, they can set the OT Plan to California OT Plan.

California OT Rules

Overtime (1.5x Regular Rate) is required when an employee:

  1. Works more than 8 hours in a workday
  2. Works more than 40 hours in a Accounting Period (AP) and Pay Period (PPE)
  3. If an employee works seven days in a row within the same Accounting Period (AP) and Pay Period (PPE), then on the seventh consecutive day, the first 8 hours worked must be paid at 1.5 times the regular rate.

Double Time (2x Regular Rate) is required when an employee:

  1. Works more than 12 hours in a single day (8 RT, 4 OT).
  2. Works more than 8 hours on the 7th consecutive day.

Zenople by Aqore’s California OT Plan logic

Zenople handles OT and DT by automatically splitting hours into:

  • Daily RT
    • An employee is eligible to work up to 8 hours per day as Regular Time (RT).
  • Daily OT (1.5x)
    • If an employee works more than 8 hours in a single workday, the next up to 4 hours (i.e., hours 9 to 12) are recorded as Overtime (OT) and are paid at 1.5 times the regular hourly rate..  
  • Daily DT (2x)
    • If an employee works more than 12 hours in a single workday, any hours beyond 12 are recorded as Double Time (DT) and are paid at 2 times the regular hourly rate.  
  • Weekly RT
    • An employee can work up to 40 hours per workweek as Regular Time (RT).
  • Weekly OT (1.5 X) 
    • If an employee works more than 40 total hours in a workweek, and the excess hours have not already been recorded as Daily OT or DT, they are recorded as Weekly Overtime (OT) and paid at 1.5 times the regular hourly rate.
  • Seventh Consecutive Days RT
    • No hours worked on the 7th consecutive day within a single workweek are classified as Regular Time.
  • Seventh Consecutive Days OT (1.5X)
    • The first 8 hours worked on the 7th consecutive day are recorded as Overtime and paid at 1.5× the regular hourly rate.
  • Seventh Consecutive Days DT (2X)
    • Any hours in excess of 8 on the 7th consecutive day are recorded as Double Time and paid at 2× the regular hourly rate.

Important: OT and DT are not double-counted. Daily rules take precedence over weekly.
